Board Meeting - September 4, 2008


Call to Order:  The meeting was called to order by President Gary Pipher at 3:40 P.M.

All members were present

Minutes:  Motion by Ross Matthews and seconded by Doris Bumstead that we dispense with reading the minutes as they are posted on the web site.
Carried.

Treasurer's Report:  Treasurer Barb Pipher reported a balance of $ 4,734.41 but also stated that we have several bills yet to pay.

Winter Shuffleboard:  George O'Reilly is looking after winter shuffling. The cost per person will be $15.00 for the season (October - April).
If you are a snowbird and planning on going south you may shuffle for $1.00 per week for a maximum of 4 weeks. This was made in a motion by Joe Morfitt and seconded by Barb Pipher.

Roll out Courts:  President Pipher told us that the roll out courts have a protective coating and it was decided by all to try them for 4 - 6 weeks before deciding whether to apply Nella seal . The discs should not require having wax applied and should just be buffed.
The courts must be beaded each day prior to play using the plastic beads. The beads should be swept up after each days use and recycled
There is an applicator for the beads, but the holes are very large and spills out more beads than necessary. Some of the holes should be covered to prevent this.
President Pipher said he would pick up some lumber for making the scoreboard mounts and will try to get them made up over the weekend.
They scoreboards will be mounted on a folding tri-pod so they can be folded and stored away after each week of play. The trolley for moving and storing the courts has been completed and is now with the courts in the Community Center auditorium
We will need 10 strips of rubber dividers as well as scoreboard chalk, erasers and the large brooms. A special floor mop is to be purchased for cleaning the courts similar to what we now use at the Curling Arena.
The kitchen in the Community Centre is not all that clean and it will be up to the members how much or how little they want to use this facility.

We have purchased a new floor carpet sweeper that was on sale at Canadian tire for 69.95 for use in the Curling Arena clubhouse.

Banquet: We have sold 77 banquet tickets and 10 more have signed up to go but have not yet paid. There are about 20 more members that have played throughout the year but have not signed up yet. Some members will be in Australia for the International Shuffleboard Tournament. We feel that we can accommodate spouses who are not members at the full cost of $ 15.00. It was agreed that we pass a basket around for tips for the waitresses at the banquet.

Insurance: President Pipher had contacted Andrew Walker at Co-Operators Insurance in Coldwater about a policy to cover our shed and equipment. The minimum premium for a commercial property is $ 850.00.
Mr. Walker said If the Curling Club's insurance is already extending liability insurance to cover your activities, they should be able to cover your equipment and building at a much better premium than I am able to do.

Picture in Paper:  There was an article in the Packet and times last week and it featured the Coldwater Shuffleboard Club photo, and a copy is now in our scrapbook.

NEW BUSINESS:

Nominating Committee:  President Pipher asked for a volunteer to make up a nominating committee for elections at our AGM before the banquet on September 18th, 2008. Lorraine Pollock volunteered to do this job.

Defibrillator:  The program for the defibrillator meeting has been rescheduled for September 11, 2008 at 10:30 A.M and lasting about 1 hour. If anyone would like to attend you are welcome.

Suggestions for another yearWork schedules will be made up and all members will be expected to sign up for something. There are a lot of jobs needing to be done and if we all sign up for at least one job, it will not fall jut a few to do all of the work.
Coffee Club Donors- There have been many weeks this year where nobody has signed up to bring items of refreshment. This could be because we just forget.
Doris Bumstead has agreed to look after the Work Schedule and the Coffee Club Donors sign up list. She will have charts made up, so please let her know what job you would like to do and when you would like to bring treats. When you sign up for something and you cannot be there that week it is your responsibility to get someone to fill in for you.
The money in the coffee fund goes to pay for the coffee expenses and the extra goes toward your banquet ticket at the end of the season.
Each member this year is getting $5.00 off of the cost of the banquet tickets. This applies to all workers, and all of those that bring treats and all of those that don't. It also applies to those who put money in the donation jar and those who do not.

Web Site:  The Coldwater Shuffleboard Club web site has been rated # 1 on the Google search. Ron Fawn deserves a lot of praise for what he does on this web site. Here is a quote from Ron. " I did a search on Google and Yahoo for Coldwater Shuffleboard, to see how far down the list it puts our website when you do a search and I am very happy to say we are number one, which is great for people trying to find information on our club."  [Web developer - I did more searches and it seems to vary, but it is still great that we appear near the top of the search page, when we are so new on the net.]

Severn Township:  President Pipher reported that he is attending a meeting with Severn Township on September 8th, 2008 at 7:00 P.M. in Orillia to discuss the Recreation Master Plan for the Township.
They have sent a questionnaire asking for input into the needs of the various clubs and organizations within the township. I will pass along our interests at the meeting. It is a long story of how this Recreation Master Plan was implemented, but I believe our Shuffleboard Club was instrumental in the conception and modeling of the plan.

Preview: - Our 1/4 page ad has been published in the "Florida Preview" and they have sent us an invoice for $40.00 U.S.

Pictures: - George O'Reilly has donated the proceeds from the sale of the 8 x 10 photos of the club members to the club. We have sold 16 of the 20 photos @ $ 4.00 each. If you know of anyone who would like one we still have some for sale.
Thank you George for the donation and the beautiful photo we now have hanging on the wall.

Tournaments: Next year we will host the CNSA Doubles Tournament on May 26, 27, & 28th, 2009. If you can think of any new sponsors or anyone who might like to give prize items please feel free to make contact with them. If you have any ideas on how to make it a better tournament just jot down your ideas and pass them along.
We also may be host to the very first Inter Provincial Tournament possibly in or around the week of August 24th, 2009.

Cues: Some of the ends on the shuffleboard cues have worn through. Ross Matthews found some at a very reasonable price and he was requested to pick up a supply of them.
